Quotation Readiness Checklist

Oklahoma State University Extension puts the mechanism in one sentence: a complete specification minimises confusion between the purchaser and the supplier, allowing firm bids that eliminate hidden costs. The surprise invoice comes from a vague brief, not from a dishonest supplier.

Tick what your specification already contains. Anything left unticked is a gap a supplier will either guess at or price defensively, and both cost you money.

Why the unticked ones cost money

Two of them cost more than the rest. Spare-parts availability and calibration capability belong on your evaluation sheet from day one, and equipment manufactured in another country under different safety regulations needs its own job safety analysis at your site. Neither appears in a quotation unless you ask.
